In this tutorial, I’m going to show how you can insert a drop down list in Excel and highlight some features.
To insert the drop down menu, we first enter the options in another sheet. We enter the numbers 1 till 5. Now we add the meaning of each number, 1 means Poor, 2 is Below Average, then Average, Good and Great.
Let’s go back to Sheet1. To insert the drop down menu, you select the cell where you want the menu to appear. Next, you navigate to the Data tab, then you go to the Data Tools section where you select Data Validation.
Now we want a limited list of possible entries. To do that, you select List and then enter the list created on Sheet2 as source. You click on OK and the drop down menu appears in the cell.
Next, I’m gonna show how you can add a few features. We go back to the Data Validation menu and then select Input Message. Here, you can choose any message that should appear when you select the cell containing the Excel drop down menu.
The next two features we want to show are the warning and information alerts. Now, if we enter something in the cell that is not part of the drop down menu, “test” for example, you see that it’s not possible.
You can change this in the Data Validation menu. We go back to that and select Error Alert. For the moment you see Stop is indicated.
Now you can select Warning for example and choose an error message, let’s take “Wrong entry”.
The other option we have in the Data Validation menu is the information message in the error alert tab.
Next, we show how to expand the list. If you insert an extra element in the list, the drop down menu will adjust automatically.
Finally, if you don’t like people to change your input list, you can go to Sheet2 at the bottom, right click and select Hide. This way you don’t see the input list in the Excel workbook.
